Everything the committee needs

Nine jobs, one dashboard.

Auction HQ replaces the stack of spreadsheets, sign-up sheets and email threads that every auction committee ends up juggling.

01

Items & lot order

Donations arrive through your website form with photo, donor and business. Accept them into the lot list, then drag items into the order they sell — lot numbers never shift.

02

Auction entry sheet

Every item in lot order with copy buttons for each field and an “Entered” checkbox, so nothing is typed twice or missed. Printable, and downloadable as a CSV file.

03

Volunteer signups

Post positions and shifts. Volunteers sign themselves up and get a confirmation with a cancel link. Shifts can never be overbooked.

04

Food court tracking

Log purchases and donations, count leftovers after the event, and see what was used and what it really cost.

05

Shared documents

Your committee’s Google Drive folder, searchable and previewable from the same screen — read-only, so nothing gets deleted by accident.

06

Exports & printouts

CSV and PDF exports for the item catalog, volunteer roster, contact list and food report — ready for the printer on event day.

07

Several auctions a year

Run a spring sale and a fall benefit side by side. Items, lot numbers, food court and volunteers each belong to one auction, and everyone picks the one they’re working on.

08

Event days & hours

Set each day of the event and its hours once. Shifts are picked from those days, and moving a day to a new date moves all of its shifts with it.

09

Import from a spreadsheet

Bring in a whole list of items from Excel or Google Sheets. Lot numbers and status come along, and a file can be imported twice without making duplicates.

How it works

From donation to auction block.

01

Donors submit items

Your item donation form creates an auction item automatically, with the year, date received and its place in line filled in.

02

The committee gets it ready

Order the lots, enter them into your online bidding platform, staff every shift and stock the food court — each from its own tab.

03

Your website stays current

The public item catalog and volunteer page update the moment something changes. No one has to remember to post an update.

Try it

See what your supporters see.

These pages run on sample data for a fictional auction. Everything on them comes straight from Auction HQ.

Auction item catalog

12 donated items in lot order, with photos and category filters. Ready to share before the event.

Volunteer signup

Open shifts with live “3 of 5 filled” counts. Volunteers’ names are never shown publicly.

Safe for your volunteers

Built with privacy in mind.

✓ Committee-only access. Members get their own login and see Auction HQ — nothing else in WordPress.

✓ No public names. The volunteer page shows open spots, never who signed up.

✓ Secure cancel links. Each volunteer gets a private link, and cancelling takes a button press.

✓ Protected keys. Google and spam-protection keys are encrypted and never shown again after saving.

✓ Spam protection. Signups are rate-limited, with optional Cloudflare Turnstile.

✓ Activity log. See who changed what, and when.

✓ Daily backups. A full copy is saved every day and before every update or import, and anything deleted can be put back for 30 days.

✓ Safe saves. If two people edit the same thing, the second save is stopped instead of quietly undoing the first.

Your next auction

Spend the season on donors, not spreadsheets.

Auction HQ comes set up on your BSync site, with your committee’s accounts ready to go.
